Who we are
ZapCoach ("we", "us", "our") is an Australian-based daily coaching service operated via Telegram and the web. We are the data controller of the information described below. Contact: accounts@zapcoach.com.au.
Information we collect
- Account info: name, email, password (hashed), Telegram username and chat ID.
- Coaching info: age, sex, height, weight, goals, equipment, calorie/protein targets, time-zone, preferred check-in time.
- Conversations: messages you send to and receive from our coach bot, including the AI prompt and response.
- Payment info: Stripe customer/subscription identifiers. We do not store your card number — Stripe does.
- Technical info: IP address, browser, basic device data and cookies needed to run the service.
How we use your information
- Deliver the daily coaching service you signed up for.
- Generate personalised plans and replies using AI (see "Third parties" below).
- Process payments and manage your subscription.
- Send transactional emails (receipts, account changes).
- Improve the service and debug issues.
- Comply with our legal obligations.
Third parties we share data with
We share the minimum data needed with these processors:
- Anthropic (Claude AI) — your messages and coaching profile are sent to generate replies. Anthropic does not train on this data per their API terms.
- Telegram — messages are delivered through Telegram's network.
- Stripe — handles all payments and stores card details.
- Supabase / Cloudflare — host our database and run our backend.
- Resend / email provider — sends transactional email.
Health information
Coaching profile fields (weight, height, goals, calorie targets) may be considered sensitive health information in some jurisdictions. By signing up you explicitly consent to us collecting and processing this information solely to deliver the coaching service.
How long we keep it
We keep your data while your account is active and for up to 12 months afterwards for legal, accounting, and fraud-prevention purposes. You can request earlier deletion at any time (see below).
Your rights
You can:
- Access a copy of your data.
- Correct or update it from your account page.
- Delete your account and data using the "Delete my account" button in My account, or by emailing us.
- Withdraw consent and stop receiving messages (pause or delete).
- Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) or your local data-protection authority.
Security
Data is encrypted in transit (HTTPS) and at rest. Passwords are hashed. Access to production systems is restricted. No system is 100% secure — please use a strong unique password.
Children
ZapCoach is for adults aged 18 and over. We do not knowingly collect data from anyone under 18. If you believe a minor has signed up, email us and we will delete the account.
Changes to this policy
We may update this policy. Material changes will be notified by email or in-app. Continued use after changes means acceptance.
